Open a clinic report
Reports show visits, charges, and outstanding balances for the clinic. Run them when you need a date range you can share, not only when you want a live worklist. The billing worklist is for today’s follow-up. A report is the snapshot you keep.
Choose the report
Start with the question you need to answer. Visits tells you who was seen. Charges tells you what was billed. Balances tells you what is still unpaid. Picking the widest report and then hiding columns takes longer than opening the one that already matches the question.
- Visits for schedule volume, cancellations, and therapist productivity.
- Charges for what left the clinic in a date range.
- Balances for payer and patient amounts still open.
Set the date range
- Open Reports from the main menu.
- Choose the report, such as visits, charges, or balances.
- Set the date range, location, and therapist if you do not want every site in one list.
- Run it. Scan the totals before you export.
Use the date of service when you are reconciling a month of treatment. A range that mixes service dates and payment dates will not match the bank deposit. If the clinic has more than one location, filter to one site first so a busy location does not hide a quiet one.
Read the result
Totals sit above the rows. Open a row when a number looks off; the row should lead back to the visit or the claim. A balance report that includes zero balances is harder to use, so hide paid lines if the screen allows it. Compare the visit count with the schedule if the charge total looks low — unsigned notes often explain the gap.
Export and share
Export the result when someone who does not sign in to Planetrehab needs a copy, such as an owner or an accountant. The export matches the filters on the screen, including the date range. Name the file with the report and the dates so next month’s file is not saved over it.
Do not email a full export to a personal address if it includes patient names. Share it with the people who already handle billing for the clinic, and store it with the month-end records.
